Role in a nutshell : to ensure the management and improvement Staff Vehicle Schemes.

A bit about Vehicle Schemes:

We manage the internal company car schemes for the One Toyota group of companies, working across 35 different companies, with ongoing plans to expand in the coming year.  You’ll be an important part of the future direction Vehicle Schemes, including DCS & CCC company car schemes, Employee, Contractor & Pensioner schemes, working with the manager to deliver improvements wherever necessary

What you’ll be doing :

This role will be responsible for the smooth operation of Internal Schemes from renewal, to vehicle order, to handover; making sure returns are on time, across all One Toyota companies.  This doesn’t mean you’ll be doing all of this, but you will be making sure that it happens, supporting the team to deliver excellent service.

  • Ensuring the timely processing of all orders and registration of new cars – this includes any extraordinary support of business targets at key points within the year
  • Making sure that all records are as accurate as possible to support employee enquiries regarding orders, payments and handovers. With an eye to efficiency, managing members and companies participating in Schemes.
  • Making sure that processes are in place to ensure correct payments are received from Scheme members and that this is verified.
  • Encouraging best practice use of Compass within the team to provide a 3 day turnaround for enquiries.
  • Managing Insurance processes to promote the coverage of all scheme vehicles and drivers and the timely recharging of any excesses.
  • Ensuring the Fine management process is as efficient as possible.
  • Liaising with a wide range of departments to ensure that issues are investigated and resolved in a timely manner, including our defleet team, the TMUK depot, Finance & Systems and all of our sister companies within One Toyota.
  • Managing KPIs – which you can help to set – so that the upward reporting of this information is clear and concise. This will also include supporting defleet forecasting for use by TMUK BRC.
  • The role has direct line management of 4 staff, both TGB and Contractor along with dotted line responsibility for another two staff, who you will manage the workload for. This will include undertaking 121s and regular performance reviews, coaching and developing the team with the support of your manager as necessary.
  • In conjunction with the Manager, Vehicle Schemes, you will also review the vehicle choice lists and propose changes and additions based on New Model launches and current business / market conditions.

Qualifications and experience you’ll need:

The team is the initial contact for all employees and therefore is the outward face of the department for many; excellent interpersonal skills, communication skills and integrity are required.

You will work closely with key contacts in the wider business in order to promoting high levels of customer satisfaction and administrative efficiency

Essential

  • Ability to operate a customer first approach in all you do
  • Skills in Microsoft suite of products – especially Excel
  • The will and abilty to learn on the job – Power BI, Power Automate and Power Apps 

Desirable

  • Power BI knowledge to create reports
  • Knowledge of PowerAutomate and other tools within MS Office
  • Knowledge of AS400
  • People management experience
  • Commercial experience, empathy and understanding

Skills & Behaviours you’ll have: 

Good written and oral communication skills and an ability to present both internally and externally.  Strong attention to detail to ensure improving data landscape.  An ability to collate data into an understandable format, often from a number of sources.
